26°715′S · 27°1031′E — Lodge operating system
LodgeOS takes managing the office off your shoulders and gives you back your time to spend on the things you love. Built for places where the signal ends before the road.
For owner-run lodges & reserves in Southern Africa.
Log 01 — Sound familiar?
Availability, bookings, invoices and daily plans are scattered across spreadsheets, WhatsApp, whiteboards and one person's memory — so every change means more copy-paste, more chasing, and another late night.
It doesn't have to work like this.
Log 02 — The enquiry
A WhatsApp comes in. You check the lodges and the boats in one view — and the proforma lands in their inbox before they've put the phone down. The confirmation, the deposit reminder and the receipt all send themselves.
Log 03 — The guests
"Book us the same chalet as last time." Every guest's booking, activity and payment history, one tap away — overpayments sit as credit on their account. And at checkout, the chalet, the game drive, boat and the bush walk settle on one folio, in a minute.
Log 04 — The hunt
A kudu comes off the River Zone quota the moment the hunt closes. Permits, professional hunters and the trophy register stay in lockstep — and the carcass flows straight to the butchery. No season-end surprises.
Log 05 — Conditions
The platform
LodgeOS gives you back your evenings, a busy season under control, and a business that doesn't live in one person's head.
Every chalet, boat, game drive and guided walk on one live calendar. All your lodges, bungalows, chalets and a fleet of boats booked in a single sitting — walk-ins included, clashes impossible.
Proformas, confirmations, receipts, daily forecast sheets and staff run sheets — generated and sent automatically. The whiteboard retires.
Capture a payment and the receipt sends itself. Overdue deposits are flagged on your home screen the moment you open the app — no ledger, no awkward surprise in March.
Which chalet they had, what they paid, which guide they liked — the full history behind every returning guest, with overpayments held as credit on their account.
Check-ins, check-outs, today's activities, maintenance notes and what today's bookings are worth — live, before your first coffee. No Excel, no calculator.
When the person who "runs the bookings" goes on leave, nothing stops. The system holds the knowledge — the calendars, the payments, the history — not one heroic staff member.
Species quotas per zone tick down automatically, with permits, PH schedules and the trophy register kept in lockstep — no paper trail to reconstruct at season end.
Every outing logs its own engine hours. Services and skipper certificates get flagged early before they cost you a booked-out Saturday.
After the booking
LodgeOS connects the work that normally gets scattered across spreadsheets, WhatsApps and memory: payments, folios, fleet hours, guest history, follow-ups and the numbers you need to make better decisions.
The full inventory

Straight answers. No fluff.
Honestly, that's the exact reason LodgeOS exists. Our first reserve tried platform after platform — and paid for every one — but they were all built for a hotel, guesthouse or Airbnb with rooms and a nightly rate. None could carry the real picture: complex accommodation rates, boats and activities, hunting rates and quotas, walk-ins and agents — all on a single booking.
So we built what they actually needed, on the floor of a working reserve, refined season after season. LodgeOS bends to the way your reserve runs, instead of forcing your operation to fit the software. If a reserve that complex couldn't find something that fit, chances are yours can't either — and that's the gap LodgeOS was built to close.
We bring them in for you. Your current diary — paper, Excel, whatever it lives in — gets loaded into LodgeOS before go-live, so the season's bookings are already there on day one. You never start from zero.
If you can use WhatsApp, Excel, and the internet, you can use LodgeOS. It was built hands-on at a working reserve, for the front desk — not for an IT department. Every staff member sees only the screens their job needs, and you have a real human to phone when something's unclear.
Nothing — and that's the point. Most lodges run on one or two persons who hold it all together, the Excel sheets, whiteboard system and a payment book, all in their head. When one of them goes away, the operation holds its breath.
With LodgeOS, the system holds all the knowledge instead. Any trained staff member can see live availability, take a booking, capture a payment or print a run sheet. Leave becomes leave again — not a crisis.
One fixed monthly fee (depending on the complexity of your operation) — typically less than a single staff salary. It covers hosting, support, training and new feature updates and release every year. No quotes for features, no hourly invoices, no surprises.
You do — always. Your bookings, guests and payment history live in your own instance, backed up daily to your own secure Microsoft account. If you ever leave the platform, you take everything with you in standard formats.
LodgeOS is built for the occasional offline moment. New bookings, activities, and payment captures keep working with no connection and sync when connectivity is restored.
Microsoft 365. LodgeOS is built on the Microsoft Power Platform inside your own Microsoft 365 environment. If your lodge already uses Outlook or Excel, you already have the foundation.
That means no exotic servers, no mystery vendor stack, and your documents, backups and emails live where Microsoft keeps them — under accounts you already own and control.
Typically four to six weeks. We load your accommodations, rates, boats and existing bookings, train the team on-site, then run alongside your current process for the first week — so nothing is ever riding on a switch being flipped.

Herman Blackie — engineer and founder. LodgeOS wasn't designed in a boardroom: it was built hands-on for a working game reserve in KwaZulu-Natal, refined season after season. Every feature exists because a real reserve needed it.
